Enter your booked meetings, no-show rate and what a booked meeting costs you. The calculator shows the meetings and money lost each month, and what a lower no-show rate would save.

How the calculation works

cost per booked meeting = your figure, or SDR cost per hour × hours per meeting

no-shows = booked × no-show rate

lost meetings = no-shows × (1 − reschedule recovery)

wasted spend = lost meetings × cost per booked meeting

saving = (lost now − lost at the lower rate) × cost per booked meeting

Every booked meeting costs the same to produce whether or not it is held. A no-show that is never rescheduled is that cost with nothing to show for it, so wasted spend is the lost meetings multiplied by the cost of booking one. Cost per held meeting spreads the full month's booking cost over the meetings that took place.

The saving line answers a practical question: if a change — booking closer to the date, automatic reminders, a confirmed decision-maker — moved the no-show rate down by a few points, what would it be worth per month? For the levers themselves, seereducing no-show rate on booked meetings.

Questions

What counts as a no-show?
A booked meeting the prospect did not attend. Decide once how you treat late cancellations and meetings the prospect asked to move, and record them the same way every month, or the rate will drift for reasons that have nothing to do with attendance.
What does "recovered via reschedule" mean?
The share of no-shows that were rebooked and then held. Those meetings are not counted as lost. The calculator treats the reschedule itself as free; in practice rebooking takes some SDR time.
Which cost per meeting should I use?
What it costs you to produce one booked meeting. If you know it, enter it directly. If not, switch to the hourly method: SDR cost per hour times the hours it takes to book one meeting. The meetings per hour calculator gives you hours per meeting from your own numbers.
Does it include client credits or commission paid on no-shows?
Only if you add them. If you credit the client for a no-show, or pay SDRs per booked meeting, add that amount to the cost per booked meeting to see the full cost.
Is what I type stored anywhere?
No. The calculation runs in your browser and the numbers you enter are not sent to us.

Dialbrew records each meeting's outcome — held, no-show or no-show with reschedule — sends appointment reminders, puts the invite in Google Calendar or Outlook through two-way sync, and can post no-shows to a Slack channel. See it on your own clients.
